How do I create labels?

Labels are a great way to group tasks, stories and decisions under a named group. The label can then be used to filter your view of the Kanban on that or any other previously created label.

To add your own label do the following:

  • Click Labels in the filters menu in the Project Kanban 
  • Then select + Create Label
  • Give your new label a logical name and description so that you and other users can find and use it
  • Select CREATE LABEL.

Note: Labels sit under the project, you can't share them across the projects. (And it's therefore not possible to create them from My Kanban).


Can I send email notifications?

You can use the Request an update feature on any work item, activity or outcome if you wish to send an email to a user. Click here for more information.


What is the best way to capture backlog items?

There are a few different ways we recommend capturing backlog items:

  1. Create Stories that are not assigned to a user and not linked to an activity (you can then filter unassigned in the Kanban).
  2. Create a label for 'Backlog' and link all User Stories to that specific label.
  3. Create an activity for the duration of the project called Backlog.


How do I create a recurring task?

This is not currently possible. You can duplicate tasks (see below) or when copying and pasting activities in the plan, you can also copy and paste the tasks underneath - e.g. create an activity called "End of month reporting" with underlying tasks for whatever needs to be done every month, and then copy and paste the actvities and move the dates.


Is it possible to edit or delete comments?

You can edit any comment on any item in Sharktower as long as it was written by you - you do this by pressing the pencil icon next to the comment.

It's not currently possible to delete comments.


Can I tag people in comments?

Yes! Simply type "@" and a list of users will appear - type the name of the person you want to tag and then select them from the list. When you press enter, that person will receive a notification pointing them to the item you have tagged them in.

If their name is not appearing, try going to the Settings page and making sure that person has been added to the project.


Can I assign an item to more than one person?

In Sharktower, we encourage explicit ownership so it's not possible to assign a work item to more than one person but there are ways to achieve what you might be trying to do. 

  1. If you need multiple people to review a document for sign-off, you can use the duplicate function (see below) and create a task for each person that needs to review
  2. If there are several people collaborating on a piece of work, you could:
    • create one task per person
    • change the assignee each time the person who "has the pen" is working on the piece of work
    • tag people in comments to discuss the piece of work


Yep! If you click on any work item (task, story, risk, issue, decision), and click in the "links" box (underneath the progress/status bar), and start typing the name of the item you want to link, you can select it from the list and this will create a (two-way) link. It is only possible to link items to each other within the same project (if you need to link items across projects, try this article on cross-project dependencies). 


A good example of when you might want to link work items to each other is when you are creating risks - why not create the mitigating actions as actual tasks in Sharktower which can be tracked? Then link them to the risk for even better traceability.


Can I duplicate work items?

Sure. Simply select the menu in the top right of any work item and you'll see the option to duplicate.

This will give you the "Create [Risk/Issue/Decision/Story/Task]" screen with the same title (plus the word "(copy)"), description, due date, assignee, priority and parent activity. Note that you need to press the Create [Risk/Issue/Decision/Story/Task] button at the bottom of the screen to complete the duplication.

Duplicating the work item does not duplicate comments.


Does Sharktower support markdown?

Markdown is a lightweight markup language that you can use to add formatting elements to plain text. And yes, Sharktower supports it in comment and description fields. You can use Markdown in your Sharktower work item text fields in the following ways:

  • Create bulleted lists using a dash (-) at the start of each line
  • Created numbered lists by using a number followed by a dot (1.) on each line
  • Format text to bold by adding two asterisks (**) at either side of a word or phrase
  • Format text to italic by adding an underscore (_) at either side of a word or phrase.
