If you have yet to create your plan, see here for a guide on how to do so. If you've done that and are after some tips on how to edit it and keep it up to date, then you're in the right place!


Reviewing

We recommend keeping your plan as up to date as possible - review it once a week with the key members of your team:

  • Use the today line as your guide - start at the top and work downwards
  • Look at any slippages in the past and assess the impact on the future activities
  • Check for upcoming dependencies between different teams and confirm everything is on track
  • Confirm upcoming milestones have no potential associated risks - or if they do, that appropriate mitigation tasks have been created and are being tracked


Updating

If, when reviewing, you realise updates are needed, here's how to go about that. Firstly, make sure you are in edit mode (by navigating to the Plan tab and clicking EDIT (you can tell you're in edit mode by the toolbar on the left and the black bar across the top of the screen).

  • Changing activity status: Ideally, activities should be marked as completed/slipped/at risk whenever the update actually occurs, but sometimes new statuses can emerge as a result of discussion.
    Update a status to COMPLETED if it is finished, SLIPPED if it hasn't completed (or won't complete) on time, AT RISK if you believe prior events could impact the upcoming dates.


  • Bulk moving activities and outcomes: We recommend marking slippages/risks and using the Estimated Completion Date for up to 4 weeks if this is still the best reflection of reality. At some point, if it becomes clear the plan (or part of the plan) needs to be moved out, it's possible to bulk move activities by holding down shift on your keyboard.
    You'll also get the opportunity to update the due dates of any child work items (tasks, stories, decisions, risks, issues).


  • Moving individual activities: You won't always needs to move lots of activities at once - sometimes it may become clear that one activity is no longer dependent on another, or that it's dependency needs to be moved. It's possible to disconnect (and reconnect) activities from each other using the white handles at the end of the activity line.

  • Deleting activities: If a piece of work is no longer required (e.g. this could happen if your organisation uses a template and some parts of it are optional for each project), there are two ways to delete activities. You'll also get the option to delete underlying work items (tasks, stories, decisions, risks, issues), if there are any.

    2. Using the selection tool (hold down shift on your keyboard, select the activities - or activity - and press DELETE on your keyboard):
    Note that you will not be able to delete an activity which has an associated outcome - you must delete the outcome first.


  • Deleting outcomes: If an outcome is no longer required, they can be deleted using the kebab menu in the same manner as activities.


  • Bulk copying activities: You may have a repeating pattern (e.g. agile sprints, reporting cycles or site rollouts) that you wish to represent in the plan; if this is the case, you can use the bulk select mechanism described above. Hold down shift on your keyboard, then use CTRL+C and CTRL+V to copy and paste. As with other editing modes, you will get the option to copy the underlying work items as well.


  • Editing/moving/resizing clusters: As you will have seen from the above videos, clusters operate independently from other items in the plan - so they will not be deleted, moved or copied when you are bulk editing activities.
    • To edit the cluster name or colour, simply click in the top left corner of the cluster - this will bring up the box to allow you to make these edits. 
    • You can also use the handle that appears when you hover over this corner to move the cluster. 
    • Resizing can be done at any corner, using the resizing handle (you may find this easier if you zoom in!)
