Running meetings

If you haven't yet set your meetings up, click here to find out how to go about it.


Select the meeting from the calendar view and then click START MEETING to begin recording actions. During the meeting, you can capture any actions (tasks), decisions, risks, issues or stories that get discussed.

Tip: If you click END MEETING, you can continue to capture these items and you can also capture free text commentary. 

Generally we recommend distilling any notes into the actions, decisions, risks, etc that are being discussed but sometimes there are those extra bits and pieces that don't fit into any of those categories! These can go into the free text summary which is visible to all attendees both in Sharktower and in the summary email.


Clicking EMAIL SUMMARY will send an email to all invitees (whether they attended or not), summarising the work items from that meeting, as well as any open work items from previous meetings, and a link to access the meeting in Sharktower itself. For those invitees with work items assigned to them, there will be a call to action to remind them to update their items.


Running stand-ups

By using Sharktower for stand-up meetings, you gain:

  • A view of each participant's kanban, including the ability to update statuses of tasks, stories, decisions, risks & issues
  • The ability to take immediate actions and add them directly into Sharktower
  • A visible timer to help you keep the stand-up flowing and on topic.


Assuming you have already created your stand-up (click here for instructions on how to do that if you haven't), you can 

select your stand-up from the schedule and then click START STAND-UP to begin.


Tip: You can quickly see if any of the attendees are blocked by the red blocked icon next to their name; this will appear if they have marked any of their work items as blocked.


To mix up the order of the speakers in your stand-up, you can use the SHUFFLE button. Once you’re ready to start,  click on each individual to filter the kanban board by their individual tasks, stories, decisions, risks and issues in turn, and allow them to give their update.

If you need to take actions, you can use the + button to add new tasks, stories, decisions, risks & issues or update existing ones using drag and drop or by clicking on the tile to see more details.


Select END STAND-UP to end the timer and review new actions. You can email out any new actions to attendees if you wish.



Note: If deleting standup or recurring meetings, the current meeting you're editing will be deleted, along with all future meetings. The history of previous meetings will be retained
