Only Admins can group projects into portfolios or make changes to a company's organisational structure in Sharktower.


If you need to sort your projects into different groups - for example to make the Projects page easier to navigate, or to be able to control access via a group of projects rather than at individual project level - then this article is for you.

Also if you are setting up a new environment and wish to represent your company's organisational structure before other users start creating projects, you will need the information below.


To group your projects into portfolios

  • Go to Admin Panel from your Avatar menu
  • Click on Manage portfolios
  • You can add new groupings (we call these "portfolios") by clicking on the hamburger menu next to your Account level and selecting "Add Nested Portfolio"
  • If you wish to add a grouping inside another grouping (i.e. a "sub" portfolio), simply select the hamburger menu on the portfolio you wish to nest underneath and select the same thing as above - "Add Nested Portfolio"
  • You can move projects into the portfolio by dragging them underneath the portfolio tile until their tile is indented
  • Click on Publish changes to ensure that the changes are reflected.
  • To delete a level, you must make sure there are no underlying projects – move them to a different level and then try again.
  • Ensure you save the changes.


USE CAUTION! Note that any change to the hierarchy has knock-on impacts as to who can see what, depending on each user’s individual permissions (these can be seen and reviewed after clicking Publish changes).


How can I make use of the grouping?

  • The grouping appears as a filter in the Projects page - each "portfolio" appears in the "Select Portfolio" dropdown
  • You can also add users as "Viewers" to an one of these portfolios - rather than adding a user to individual projects one at a time. These users will then have access to any future projects which get added to the portfolio. You might use this for senior stakeholders who need visibility across a number of projects, for example.
  • When a user creates a new project, they will be asked whether they want to put it inside a portfolio - so the list will appear in a dropdown here too.
